AgronomyNote (ABN 20 819 580 368) is a partnership in Victoria, Australia. The full policy is below; first, the short version, in plain words.
1. Your notes, in plain words
- Nobody else sees your notes. They are never visible to another AgronomyNote customer, including other agronomists at the same firm, and they are never sold, licensed or shared in any form that identifies you, your growers or their paddocks. Grower names, paddock names, chemical rates and observations are commercially sensitive, and they are treated that way.
- Spray records. When you log a spray, we keep the product, the rate, the paddock and the date, along with any product and rate list you build up for yourself. It is treated exactly as a note is — yours, commercially sensitive, never shown to another customer — and it is erased with everything else when you ask for erasure.
- Regional trends. We may produce de-identified regional trends — counts and averages across many growers in a district, such as how often a disease was seen in a season — and license those to other businesses. A trend is only produced for a district with enough growers that no one can be picked out, and it never contains a recommendation or a rate. This is part of the terms of using the service; there is no separate opt-out.
- Where they live. Your account, notes, growers, paddocks, follow-ups and photos are stored in Australia, in Supabase’s Sydney region (ap-southeast-2). Some processing happens overseas: OpenAI (United States) transcribes and structures a note while it is being made; Resend (United States) delivers email; Open-Meteo (Europe) supplies the weather, receiving only a position rounded to about a kilometre; Vercel (United States) hosts the site; Stripe (United States) handles payment; Cloudflare runs the bot check on the sign-up and password-reset forms only.
- The audio. When you record a note the audio is sent to our server, passed straight to the transcription provider, and discarded as soon as the text comes back: we never write the audio to disk on our servers and never store it. One exception, on your own device: if a recording cannot be transcribed, the audio is kept in your own browser so it is not lost, erased the moment it transcribes or you throw it away, and discarded after 24 hours either way. The phone app keeps a recording on the phone until it has been sent and transcribed, so a note made with no signal is not lost, and removes it once it has been.
- Artificial intelligence. OpenAI turns what you said into a structured note and drafts grower emails on request. It does not make agronomic decisions or check your work, your notes are not used to train AI models, and if a transcript contains words about wanting to harm yourself the app shows where to find help and otherwise treats the note as any other.
- Who can reach your account. The two people who run AgronomyNote can open your account through an internal screen, only to answer a support question, investigate abuse or a security problem, keep the service running, or meet a legal obligation. Every such access is recorded against the person who made it and cannot be edited. Ask us at Support@AgronomyNote.com and we will tell you whether your account has ever been opened this way.
- Leaving. Deleting your account from Settings closes it straight away: you are signed out on every device, any subscription stops, and your notes, growers and photos are kept but no longer reachable by you. Ask for everything to be erased when you delete, or at Support@AgronomyNote.com, and we erase your notes, growers, paddocks, follow-ups, photos, spray records and recordings — from storage, not only the references to them — within 30 days. One thing outlives that erasure, on purpose: your account’s identifier on its own is kept for 35 days, so that if we ever restore a backup taken before you left, the restore cannot quietly bring you back. It holds no name, address, note or anything else about you, and it is deleted once no backup could still contain you. Stripe keeps invoices for the seven years tax law requires. If this policy changes in a way that affects how your notes are handled, we will email you before it takes effect.
What the site keeps on your device is on the cookies page. The phone app keeps your sign-in on the device instead of in a cookie: it is encrypted, and the key to it is held in the phone’s own secure store — the Keychain on iOS, the Keystore on Android — so a copy of the app’s files taken off the handset cannot be read. Signing out removes both. It also keeps a copy of your notes, growers, follow-ups and the last Insights reading on the phone, so they can be read with no signal; that copy is removed when you sign out too.
2. The full policy
Written by us, from what the app actually does, and covering the Australian Privacy Act. AgronomyNote is offered in Australia.
This notice explains what AgronomyNote does with your information. AgronomyNote (ABN 20 819 580 368) is a partnership registered in Victoria, Australia. In this notice, "we", "us" and "our" mean the partnership trading as AgronomyNote, and "the service" means the AgronomyNote website at https://www.agronomynote.com, the AgronomyNote mobile app, and anything else of ours that links here.
AgronomyNote is a field-note tool for agronomists, used on a phone in the paddock. You record a spoken note after a visit; it is transcribed and turned into a structured note — grower, paddock, observations, recommendations, chemical rates, follow-up dates — which you review before it is saved. Notes can be emailed to the grower, and the email can be drafted for you. Follow-ups can be sent to you as reminders. An Insights screen shows the weather forecast, spray conditions and disease risk for your district, using your device's location if you allow it. Photos can be attached to notes, and a team can buy seats for several agronomists. Subscriptions are billed monthly through Stripe after a free trial.

THE SHORT VERSION
What we hold. What you give us — your name, email and password, your growers and paddocks, and the notes you record — plus what the service needs to run. Details are in section 1.
Sensitive information. We do not collect or process any.
Information from anyone else. None. We do not buy, rent or receive information about you from other companies.
What we do with it. Run your account, turn your recordings into notes, send the emails and reminders you ask for, take payment, keep the service secure, and meet our legal obligations. See section 2.
Who else sees it. Only the suppliers that make the service work, each named in section 3, and only for the part they do.
Your notes. They are never visible to another AgronomyNote customer and never sold or licensed in any form that identifies you, your growers or their paddocks. See section 12.
Your rights. You may see what we hold, correct it, and ask for it to be erased. See section 9 and section 11.
Security. We take reasonable technical and organisational measures, described in section 7. No service on the internet can promise it will never be broken into, and we do not make that promise.

1. WHAT INFORMATION WE COLLECT
What you give us
You give us information when you create an account, use the service and contact us. What that amounts to depends on how you use it, and may include:
- your name
- your email address
- your password, which is stored only as a cryptographic hash and is never visible to us
- your contact preferences
- your growers' and paddocks' names, and any email address you save against a grower so notes can be sent on
- counts of what you have used: notes created and minutes transcribed, so fair-use limits can be applied
- your field notes — the audio you record, which stays on your device until it can be sent, is held by us only until it is transcribed and is then discarded; and the transcript, the structured note, any follow-ups and any photos you attach
- your device's location, only if you allow it, rounded to about a kilometre and used to fetch the weather rather than kept as a history; the town and growing region you choose; and, if you record one, the approximate location of a paddock, so notes can be mapped and trends shown for that area
- your spray records: the product, rate, paddock and date of each application you log, and any product and rate list you build up for yourself
What you give us needs to be accurate, and you need to tell us when it changes — an email address we cannot reach is an account we cannot help you with.
Sensitive information. We do not collect or process information of the kind privacy law treats as sensitive, such as health information, racial or ethnic origin, political opinions, religious beliefs, sexual orientation or criminal record.
Payment information. Subscriptions are paid on Stripe's own pages. Stripe holds your name, email, billing address, the card or bank account you pay with, and your invoices, under its own privacy notice, which is at https://stripe.com/au/privacy. We never see or hold your card or bank details. What we keep is a reference to your Stripe customer and subscription records and the state of your plan. Stripe keeps invoices and transaction history for as long as tax law requires, which in Australia is seven years, and that continues after an account is deleted.
What the app asks your device for
The mobile app asks your permission for the following, and each can be refused or withdrawn in your device's settings. Refusing one switches off the feature that needs it and nothing else.
- Location. Used to fetch the forecast and disease risk for where you are. It is rounded to about a kilometre before it leaves the device, it is not tracked in the background, and no history of where you have been is kept.
- Microphone. Used to record a note. Nothing is recorded unless you start a recording.
- Camera and photo library. Used to attach a photo to a note.
- Notifications. Used to remind you of a follow-up you asked to be reminded about. The reminders are scheduled by the phone itself, so no notification service is sent anything to deliver them.
The mobile app also keeps some things on the phone itself: a recording that has not yet been sent and transcribed, so a note made with no signal is not lost; and a copy of your notes, growers, follow-ups and the last Insights reading, so they can be read with no signal. That copy is removed when you sign out.
What is collected automatically
Some information arrives without anyone typing it, because a web service cannot be run without it. It is used to keep the service working and secure, to find and fix faults, and to understand which parts of the service are used. It is:
- Server logs. When your browser or the app asks our servers for something, the request is logged: the IP address it came from, the browser or app version, the time, what was asked for, and whether it failed. Error reports are recorded the same way.
- Analytics. Which pages are opened and how the service performs, collected by Vercel Analytics without cookies and without building a profile of you.
We do not collect device identifiers, hardware models, phone numbers, your mobile carrier or your internet provider, and we do not use web beacons, pixels or advertising trackers.
Information from other sources
There is none. We do not obtain information about you from public databases, data brokers, marketing partners, affiliate programs or social media, and we do not enrich what you have given us with anything bought from anybody else.
2. HOW WE USE IT
We use what we hold for these purposes and no others:
- To run your account. Creating it, signing you in, keeping you signed in, and letting you change or close it.
- To provide the service. Transcribing the audio you record, turning it into a structured note, storing your notes, growers, paddocks, spray records and photos, and showing them back to you.
- To send what you ask us to send. A note emailed to a grower, a follow-up reminder, a seat invitation to a colleague, and the emails an account needs — sign-in, password reset, and receipts.
- To show Insights. Fetching the forecast, spray conditions and disease risk for the district you are in or have chosen.
- To take payment. Starting, changing and ending a subscription through Stripe, and applying fair-use limits.
- To keep the service secure. Detecting and preventing abuse, fraud and unauthorised access, and investigating it when it happens.
- To fix and improve the service. Diagnosing faults from error reports and logs, and understanding which parts are used.
- To produce de-identified regional trends, as described in section 12.
- To meet our legal obligations, including tax and accounting records, and to establish or defend a legal claim.
We do not use your information for advertising, and we do not sell it.
3. WHO ELSE IT GOES TO
Your information goes to the suppliers that make the service work, and to nobody else except in the two situations at the end of this section. Each of them is contracted to use it only to do the job we have given them, to keep it safe, and to keep it only as long as we say. They may not use it for their own purposes.
- Supabase — the database and file storage where your account and notes are held, in its Sydney region (ap-southeast-2).
- Vercel — hosting for the website and the app's API, and Vercel Analytics for the page statistics described above.
- OpenAI — transcription of the audio you record, and turning a transcript into a structured note or drafting an email. Processed in the United States.
- Stripe — subscriptions, payment and invoices.
- Resend — delivery of the emails the service sends: notes you send to growers, follow-up reminders, sign-in and seat invitations.
- Open-Meteo — weather forecasts. It receives a position rounded to about a kilometre, and never your IP address, your account or your notes.
- Cloudflare Turnstile — a check that a human is filling in the sign-up and password-reset forms. It sees your IP address on those two forms and nothing else.
Beyond those:
- If the business is sold or merged, your information may pass to the buyer as part of it, or be disclosed during negotiations. Whoever receives it is bound by this notice until you are told otherwise.
- If the law requires it, we may disclose information to comply with a legal obligation, a court order or a lawful request from an authority, or to establish, exercise or defend a legal claim.
4. COOKIES
We use cookies for the things the service cannot work without: keeping you signed in, remembering the choices you have made, and protecting the forms from abuse. We do not use advertising or tracking cookies, and nothing on the site builds a profile of you.
What each cookie is for, and what you can switch off, is set out in the Cookie Notice at https://www.agronomynote.com/cookies.
5. ARTIFICIAL INTELLIGENCE
Parts of the service use artificial intelligence, provided for us by OpenAI. They are:
- Transcription. The audio you record is turned into text.
- Structuring a note. The transcript is turned into a note with a grower, a paddock, observations, recommendations, rates and follow-up dates, which you review before it is saved.
- Drafting an email. On request, a draft of the email that sends a note to a grower.
To do that, the audio and the text of the note are sent to OpenAI and processed in the United States. They are processed to answer that one request and returned; they are not used to train anybody's model.
The output is a draft. It can mishear a word, a name or a number, which is why the app puts it in front of you to check before anything is saved or sent, and why the professional judgement in a note remains yours.
If you would rather not send audio, you can type a note instead. Turning a note into structured text still uses the AI service: if you would rather your notes were not processed by artificial intelligence at all, the app cannot work for you, and you can close your account from Settings at any time.
6. HOW LONG WE KEEP IT
We keep what we hold for as long as you have an account, because that is what the account is for, and then for as long as the law requires us to.
The audio you record is the exception, and it is deliberate: it is held only until it has been transcribed, and is then discarded. It is never written to our disks.
When there is no longer a reason to keep something, we delete it or strip it of anything that identifies you. Where that cannot be done at once — because a copy is inside an encrypted backup — the backup is stored securely, is not used for anything else, and is deleted on its own schedule. What happens when you close your account is set out in section 13.
7. HOW WE KEEP IT SAFE
Your information is held in Supabase's Sydney region and protected by measures appropriate to how sensitive it is. Traffic is encrypted in transit, data is encrypted at rest, passwords are stored only as hashes, and access to your rows is enforced by the database itself rather than only by the application, so a mistake in our code cannot serve one customer's notes to another. Administrative access requires a second factor.
No transmission over the internet and no method of storage is completely secure. We do not promise that the service can never be broken into, and you should treat any claim of that kind from anybody with suspicion. What we do promise is to take the protection of your information seriously and to tell you, and the regulator, if a breach occurs that is likely to cause you serious harm.
8. CHILDREN
The service is for professional agronomists. We do not knowingly collect information from anyone under 18, and we do not market to them. By using the service you confirm that you are at least 18. If we learn that we hold information from someone under 18, we will close the account and delete what we hold. If you believe we hold information about a child, write to Support@AgronomyNote.com and we will deal with it.
9. YOUR CHOICES
Withdrawing consent. Where we rely on your consent — your device's location, and notifications — you can withdraw it at any time in your device's settings or by writing to us. Withdrawing it stops the thing it allowed; it does not make what was done beforehand unlawful.
Emails. The emails we send are the ones the service needs to send: notes you have chosen to send to a grower, reminders you have asked for, sign-in and password emails, seat invitations and billing receipts. We do not send marketing email. If that ever changes, it will carry an unsubscribe link, and unsubscribing will not affect the emails above.
Your account. You can see and change what is in your account from Settings at any time, and close it from there too. Closing it is described in section 13.
Cookies. Most browsers accept cookies by default and can be set to refuse or remove them. Refusing the ones that keep you signed in will stop the service working. See the Cookie Notice.

10. DO NOT TRACK
Some browsers can send a "Do Not Track" signal. There is still no agreed standard for what a website should do when it receives one, so we do not respond to it. This is a smaller matter here than it is elsewhere: we do not track you across other websites, and there is no advertising profile of you to switch off. If a standard is settled that applies to us, we will follow it and say so here.
11. AUSTRALIAN PRIVACY LAW
We collect and handle your personal information under Australia's Privacy Act 1988 and the Australian Privacy Principles.
This notice is intended to meet that Act's notice requirements: what we collect, where it comes from, what it is used for, and who else receives it.
Some of that information is necessary. If you decline to provide it, it may limit what we can do, in particular:
- provide the service you have asked for
- answer or act on your requests
- manage your account
- confirm who you are and protect your account from someone else
You may ask at any time to see the personal information we hold about you, or to have it corrected. Section 16 says how.
If you believe we have handled your personal information unlawfully, please raise it with us first — we would rather fix it. You may also complain to the Office of the Australian Information Commissioner about a breach of the Australian Privacy Principles.
12. REGIONAL TRENDS
Your notes are never sold, licensed or shared in any form that identifies you, your growers or their paddocks. We do produce de-identified regional trends: counts and averages across many growers in a district, such as how often a disease was seen in a season. We may license those trends to other businesses. A trend is only published for a district with enough growers that no one can be picked out, and it never contains a recommendation or a rate.
13. CLOSING YOUR ACCOUNT
Deleting your account from Settings closes it rather than erasing it. You are signed out on every device, any subscription stops, and you can no longer reach what is in the account, but your notes, growers, paddocks, follow-ups, spray records and photos are kept. Only an erasure removes them. You can ask for erasure as you close the account, or afterwards by writing to us, and we erase within 30 days. After an erasure we keep your account's identifier, and nothing else about you, for 35 days, so that restoring a backup taken before you left cannot bring your information back without us noticing; it is deleted once no backup could still contain you. Stripe keeps its own invoice records for the period tax law requires.
14. CHANGES TO THIS NOTICE
We may update this notice. The date at the top is the date of the version you are reading. If a change is significant we will tell you, either by a notice on the service or by email to the address on your account, rather than leaving you to notice it.

16. SEEING, CORRECTING OR DELETING WHAT WE HOLD
You may ask us for a copy of the personal information we hold about you, for an explanation of what we have done with it, for anything inaccurate to be corrected, and for it to be erased. Where you gave us consent for something, you may withdraw it. These rights have limits in some circumstances under the applicable law, and where we cannot do what you have asked we will tell you why.
