Acceptable Use Policy

What you may and may not do with AgronomyNote. It is part of the terms of service and applies to everyone with an account, including someone using a seat their firm has paid for. The full policy is below; first, the short version.

1. The short version

Only record what you have the right to record. If another person can be heard — a grower, a colleague, anyone in the ute — you need their agreement first. In every Australian state and territory, recording a private conversation without the other person’s consent is restricted or an offence, and the rules differ between them. Tell them, or record your own summary once the conversation is over. This is the rule that matters most, because it is the one that can affect someone who never signed up.
Hold your growers’ details lawfully. The names, paddocks and email addresses you store belong to your clients. You have the relationship and you decide what to record and who to email, so that responsibility is yours.
One account is one person. Do not share your sign-in. A firm with several agronomists buys seats, which give each person their own account and keep each person’s notes private to them.
Leave the service and other people’s notes alone. No reaching for another account’s data, no probing or disrupting, no reselling or rebadging, and no scripted access at a volume a person in a paddock could not produce.
Fair use is generous. There are limits on notes and transcription minutes so one account cannot exhaust a shared resource, set well above normal field use. If you meet one, the app tells you what it is and when it resets, and nothing you have already recorded is affected.
If this is broken we may suspend or close the account, and the terms allow that without warning. For anything that looks like a mistake we would rather ask first. If you think someone is misusing AgronomyNote, or you have found a security weakness, email Support@AgronomyNote.com; we will not pursue a good-faith report that does not reach anyone else’s data.

2. The full policy

Written by us. The first five prohibitions are the ones specific to this app, and are worded exactly as they are in the terms so the two cannot drift apart.

This Acceptable Use Policy is part of our Terms of Service and should be read with them. It sets out what you may not do with AgronomyNote. Using the service means agreeing to it; if you do not agree, please do not use the service.

It applies to everything you do with the service, to everything you put into it, and to the parts of it that use artificial intelligence.

USING THE SERVICE

You agree to use the service lawfully. In particular, you must not:

Record a conversation, or store a person's details, that you do not have the right to record or hold — including recording another person without their agreement where the law requires it.
Attempt to reach another user's notes or data, or probe, scan or disrupt the service.
Resell, rebadge or share access to the service, or use it to build a competing product.
Automate access to the service at a volume a person in a paddock could not produce.
Share your sign-in, or let anyone else use your account. One account is for one person; a firm buys a seat for each agronomist.
Sell or transfer your account to somebody else.
Collect or compile data or content from the service systematically, into a database, directory or dataset, without our written permission.
Harvest usernames or email addresses from the service, or create accounts automatically or under false pretences.
Use the service, or anything obtained from it, to send unsolicited email.
Get around, switch off or interfere with the security of the service, or with anything in it that enforces a limit.
Attempt to reach any part of the service you have not been given access to.
Frame the service, or link to it, in a way we have not permitted.
Mislead or defraud us or another user, particularly in any attempt to obtain someone's password or account details.
Misuse our support, or send us false reports of abuse or misconduct.
Use scripts, robots, scrapers, spiders, data-mining tools or any other automated system with the service, beyond ordinary use of a search engine or a browser.
Place an undue burden on the service or on the networks it runs over, or disrupt them.
Impersonate another person, or use somebody else's name or account.
Use anything obtained from the service to harass, abuse or harm another person.
Harass, intimidate or threaten anyone working on the service.
Reverse engineer, decompile, disassemble or otherwise try to discover the source code or the workings of the service, except where the law expressly allows it.
Copy or adapt any of the software or code behind the service.
Remove a copyright or other proprietary notice from anything in the service.
Upload or send anything designed to harm the service or other people's use of it, including viruses, trojans and other malicious code, and including flooding it with repetitive content.
Upload or send anything that collects information passively, such as tracking pixels, web bugs or spyware.
Disparage, tarnish or otherwise harm, in our opinion, us or the service.
Use the service in any way that breaks the law.

IF YOU SUBSCRIBE

A subscription lets you use the service. It does not give you rights over the software behind it. Unless we have agreed otherwise in writing, you must not:

Copy, modify, republish, display, perform or redistribute any part of the service.
Try to discover the source code or the algorithms behind any part of it.
Make the service available to anybody else.
Intercept data not intended for you.
Damage, expose or alter another person's data, or any hardware, software or information belonging to somebody else.

THE AI FEATURES

Transcription, the structuring of a note and the drafting of an email are provided for us by OpenAI. When you use them, you must not:

Use them in any way that breaks OpenAI's own terms or usage policies.
Put information into them that you have no right to share.
Use them for any purpose that artificial intelligence law prohibits — including manipulating people's behaviour by subliminal or deceptive means, exploiting somebody's age, disability or circumstances, social scoring, inferring sensitive personal attributes or emotions from biometric data, building facial-recognition databases by untargeted scraping, or assessing somebody's likelihood of committing an offence from profiling alone.
Use them to produce anything unlawful, or anything intended to deceive or harm another person.

The output is a draft. It can mishear a word, a name or a number, and the professional judgement in a note stays yours — the terms say so at greater length, and it is the most important thing on either page.

IF YOU BREACH THIS POLICY

What happens depends on how serious the breach is and on what has happened before. We may:

warn you, and ask you to stop;
suspend your access, or part of it, while we look into what happened;
end your access and close your account, for a serious breach or a repeated one;
take legal action, where the breach has caused real harm or broken the law;
report the matter to the police or to a regulator, where we believe somebody is genuinely at risk or public safety is threatened.

Closing an account for a breach does not erase what is in it. What happens to your notes is set out in the privacy policy under closing your account.

We are not liable for what we do in response to a breach of this policy.

CHANGES TO THIS POLICY

We may update this policy. The date at the top is the date of the version you are reading, and a significant change will be told to you rather than left for you to find.
